As technology continues to change the way we work and interact businesses in every industry are integrating new software to keep up. Adopting new software and technology is essential for any business that wants to thrive in the continuously changing market. Unfortunately, many companies that try to integrate new systems have low rates of user adoption and a new system no matter how effective will not work if you can’t get your employees to adopt it.

One of the best ways an organization can improve user adoption rates is by implementing an effective software adoption training program. These programs can help employees learn how to use new software. They ca also help new users in building the confidence they need to apply the new skills they learn on the job.

Infopro Learning has more than 25 years of experience developing learning solutions to solve business challenges. In fact, Infopro Learning recently assisted a global organization scale their software adoption training to increase their user adoption rates.

Solution Highlights

This life sciences organization had more than 100,000 employees around the world. They provided and distributed a vast range of consumer products to their customers. In an effort to reduce their carbon footprint and become more sustainable they developed a new transportation management system (TMS) to help optimize the delivery process. In a trial run the new system was a success, however to truly reach their goal they needed employees in different regions and departments to learn how to use the system successfully. They needed an enterprise software adoption plan that would increase user adoption rates and a way to help their employees integrate the system into their daily work.

Infopro Learning developed a successful software adoption training program to help help this business leader reach their sustainability goals. The program was segmented into 3 different phases. The first phase was centered around developing a blended strategy. The 2nd phase was the creation of the curriculum and the development of the personalized learning paths. The 3rd phase was where different training methods were selected to maximize engagement.

Phase 1: Developing a Blended Strategy

A blended strategy was used to create the digital learning series. A blended approach utilizes multiple training methods and often consists of many different training sessions. This strategy was selected due to its ability to engage learners at different levels.

The fact that successful user adoption generally takes place over time and in phases also made this strategy ideal for driving adoption of the new software tool. The training series consisted of two different series to engage learners in the early discovery phase and at more advanced levels.

Phase 2: Creating the Curriculum and Personalized Learning Paths

After the strategy was developed the creation of the curriculum and personalized learning paths began. Employees in different departments roles and regions all needed to learn how to use the system successfully. However, what they needed to know to operate the system effectively varied. 5 key roles were identified and personalized learning journeys were created for each.

The series was further broken down into 3 different parts to increase knowledge retention and to enhance the personalized experiences.

The program began with a foundational series of modules that covered the basics and introduced the different topics . There were also modules that were designed specifically for the onboarding process to help new users learn about the system. The advanced series consisted of modules that provided a deeper exploration of each specific topic. The final series was centered around proper application. These modules provided opportunities where learners could practice and apply the knowledge the had learned.

Phase 3: Utilizing a Range of Training Methods

To increase adoption success rates several different training methods were used throughout the adoption process. Animated videos were used to engage learners and enhance the user experience. Interactive modules were used to keep participants actively learning.

Other modules featured scenario based training. This is where learners work through life like scenarios solving a problem they would likely encounter on the job. They then apply the skills they have learned to work through the scenario. Assessment modules were also integrated into the program to gauge knowledge retention.

Each module also included high quality media such as animation and other visuals to help build context around each topic.

Solution Results

Implementation of the software adoption training program led to a significant increase in user adoption rates. The personalized learning paths were able to speed up and scale the process of training employees to use the new system. With more and more employees learning how to effectively utilize the new TMS this organization was able to work towards their sustainability goals more quickly than before.
